Closing date: 31 May 2019 Reporting to General Manager of Operational Readiness : QB2 Project, the OR Executive Assistant will be responsible to provide administrative support to Operational Readiness team and activities related with their responsibilities
Responsibilities:
:Be a courageous safety leader, comply with and sponsor safety and environmental rules and procedures.
:
Manages office (non:control) support processes, equipment and procedures (mail, stationery and supplies, office equipment).
:
Manages document control requirements including internal systems, access and communicating requirements within OR.
:
Translation of documents where appropriate.
:
Compiles reports, presentations and other documents as required, in line with Teck standards.
:
Arranges OR level events, meetings and workshops sessions. (bookings, catering, agendas, material and taking minutes.)
:
Interfaces with HR and Resourcing on new starters and departures on timing and requirements.
:
Coordination of all onboarding meetings and be the central coordinator for on boarding details: including building access, logons and hardware, lockers. Coordinates site induction and authorisations.
:
Arrange site induction and medicals for IO employees and tracks and reports on currency requirements.
:
Manage OR travel and accommodation contingency plans. Execute travel arrangements for OR deployment when required.
:
Manages changes and tracks travel cost allocation and cost.
:
Raises and tracks purchase requests in appropriate systems.
:
Support the General Manager and OR team through reporting and making recommendations.
:
Recommends improvements that result in cost savings, efficiencies or health and safety benefits.
Qualifications:
:Tecnique Degree : Administrative Orientation
:At least 8 years of experience on similar activities
:Excellent communication skills
:Oriented towards the achievement of objectives
:Managing your time and ability to perform various tasks at the same time
:Initiative to anticipate needs of the area and perform with minimal supervision
:Advanced Management of Office tools
:Advanced English and Spanish (100 of both)
